The City of Laconia IT and Fire Department seeks proposals from qualified vendors capable of providing supply and installation services of a new Mini-Split for the City Hall server room located at 45 Beacon Street East, Laconia and the Fire Department server room located at 848 North Main Street, Laconia. Scope of Work: The selected vendor must provide all materials, equipment and labor required to accomplish the upgrades proposed approved under this request, to Code, installed and fully operational by October 27, 2024. The City Hall server room is located on the second floor of the building. The room size is roughly 11'L x 10'W and 9.5'H. Maintain a temperature between 60-65 degrees with a dry mode (dehumidifier). This would replace a portable floor-mounted ac unit vented through a modified windowpane. The Fire Department server room is located on the Mezzanine floor. Room size is roughly 10'L x 7'W x 8'H. Maintain a temperature between 60-65 degrees with a dry mode (dehumidifier). This would replace a portable floor-mounted ac unit vented through a cinder block wall. Unless otherwise noted, the award may be made by individual items. If there is a discrepancy between the unit price and the extension, the unit price will prevail. Discounts will not be considered in making award but may be offered on the invoice for earlier payment and will be applicable on the date of completion of delivery or receipt of invoice, whichever is later The City of Laconia reserves the right to reject or accept all or any part of any proposal, to determine what constitutes a conforming proposal, to award solely as it deems to be in the best interest of the City, and to waive irregularities that it considers not material to the process. The City of Laconia reserves the right to accept or reject any or all proposals or any part thereof to waive any formality in the process, and to accept the proposal considered to be in the best interest of the City. The City may cancel this proposal request at any time for any reason. Failure to submit all information called for may be sufficient grounds for disqualification. The selected firm will be expected to begin the project as soon as possible with the goal of completing the installation before the end of October 2024. When a construction or service contract is awarded in excess of $25,000 performance and payment bonds, satisfactory to the City and executed by a surety company authorized to do business in New Hampshire and required in an amount equal to one hundred percent (100%) of the price specified in the contract for the full term of the contract.
