The Town of Randolph is seeking proposals from qualified contractors to provide grounds maintenance services for the 2025 and 2026 seasons in two cemeteries (Randolph Center and East Randolph). The services requested include mowing, trimming, and spring and fall cleanup for the 2025 and 2026 seasons, generally beginning as early as mid-April of each year, and concluding on October 31st of each year. The Town is seeking a two-year grounds maintenance services contract. Maps, showing approximate locations and boundaries, are included with this RFP. Scope of Work The subject properties, and tasks required at each, follows. Randolph Center Cemetery The Randolph Center Cemetery includes two parcels owned by the Town, adjacent to one another, totaling 8.8 acres. The contractor will provide the following: o Spring clean-up services, such as the collection of remaining leaves, fallen limbs, or other debris. o Mowing on a weekly basis, unless and/or until the growing seasons necessitate less frequent mowing. o Trimming around trees and stones. o Fall clean-up services, such as the raking of leaves and collection and disposal of fallen limbs or other debris. Mowing and trimming services shall not be performed when a memorial and/or internment service is underway. The contractor must show great care with regards to stones, memorial markers, mementos, and plantings. The scope of work does not include digging or other internment-related services at this time. The East Randolph Cemetery includes a single parcel, bisected by Vermont Route 14, totaling nearly 4.5 acres. The contractor will provide the following: o Spring clean-up services, such as the collection of remaining leaves, fallen limbs, or other debris. o Mowing on a weekly basis, unless and/or until the growing seasons necessitate less frequent mowing. o Trimming around trees and stones. o Fall clean-up services, such as the raking of leaves and collection and disposal of fallen limbs or other debris. The Town is seeking a contract for the two seasons indicated in the introduction; the contract period will roughly span from April 2025 through October 2026). Respondents shall use the bid response form included with this RFP. The Town of Randolph reserves the right to accept, reject, or seek modification to any and all bids at its sole discretion. Bid award will be made as soon as practicable.
