Kimball Public Library seeks the services of a qualified, insured custodial service provider to clean two times per week. Approximately 4000sf of public space on two floors to be serviced. Scope of Work: The following list of cleaning services is not exhaustive, but rather reflects the level of thoroughness to be maintained. Disinfect common touch points and surfaces such as platform lift controls and doors, countertops, tables, service desks, light switches, door knobs and handles. o Personal desks and items are not be touched, unless there is an obvious item to be corrected such as a spill or other similar issue. Vacuum all rugs routinely and clean spots as needed. Mop all floors routinely. Empty all trash bins and dispose of contents. o Can use Town dumpster for disposal of trash. Thoroughly clean and disinfect kitchenette. Thoroughly clean, disinfect, and stock all restrooms. o Fill regularly dispensers for soap, paper towels, and bathroom tissue - supplies provided by the Library. Clean glass in doors. Wipe and disinfect wood and vinyl chairs and vacuum upholstered furniture and rotate cushions where possible in common-use rooms. Dust ceilings, doorways, cornices, paperback rack bases, book shelves, windowsills, radiators / heating registers, and wood pillars and paneling. Sweep front porch and steps, and side door vestibule. Wipe off bookdrops (outside side door; adjacent to youth service desk). Unscented and non-toxic cleaning supplies are required, for the well-being of the cleaning staff, library staff, and library visitors, and to preserve historical finishes. All cleaning supplies must be approved by the library director. Bidders are encouraged to make a site visit during Kimball Library's open hours (M / Th 2pm8pm, T / W / F 10am-5pm, Sat. 10am-1pm) to assess the scope of work. Starting date: March 1, 2025. Cleaning to be done outside open and staff working hours Qualified bidders shall submit a proposal in a sealed envelope or through email. Proposals shall include the following information: 1. Qualifications and resume 2. Three references with contact information 3. Annual cost of service to perform all required tasks 4. Hourly rate for additional services not substantially included in the scope of work in Section B The Town of Randolph encourages responses from disadvantaged; women-owned; minority owned; and / or small, local firms. Selection of the service provider will not be based on the lowest price alone and will follow the Town of Randolph's Purchasing Policy, which states: "Awards will be made to the most responsible and responsive firm which is able to demonstrate that its bid is most advantageous to the Town of Randolph from the perspective of price, quality, approach, and experience..." Kimball Library personnel will evaluate each bid and will make a final recommendation to the Kimball Library Board of Trustees. The Board of Trustees anticipates selecting the successful bid during its duly-warned meeting on February 20, 2025, barring any unforeseen circumstances. Kimball Library reserves the right to reject any and all bids submitted, and to waive any technical deficiencies and accept the bid that is deemed to be in the best interest of the Library.
