Reference Number 0000372074 Purchase Type: Term: 02/07/2025 02:00 AM EST - 06/30/2025 02:00 AM EDT Englewood Public Schools is seeking a qualified HVAC contractor to provide comprehensive maintenance, repair, and replacement services for the heating, ventilation, and air conditioning (HVAC) systems in our nine buildings. The goal of this RFP is to identify a reliable and experienced partner who can deliver high-quality HVAC services, ensuring optimal comfort, energy efficiency, and compliance with all relevant codes and regulations. Scope of Services: The selected contractor will be responsible for the following services: all work to be performed Monday through Friday between 6am - 4pm unless otherwise agreed upon by both parties. The contractor will provide a standard proof of work documentation following completion of work. The document must include sufficient information to identify the facility where the work was performed, equipment and/or components on which work was performed, purpose of the work, date and time of the work, parts used, types of refrigerants, and the name /certification number of technicians executing the work. This should be submitted within 48 hours of the work being performed. Question Deadline 01/20/2025 at 12:00 PM MT Questions are submitted online No, Any questions or requests for clarification regarding this RFP should be submitted in writing via email to the Director of Operations and Maintenance Ariel Ramos at Ariel_Ramos@engschools.net Bid Intent Not Available Preventive Maintenance: Regular Inspections on Evaporative Coolers, Chillers, Boilers, Cooling Towers, Air Handling Units, Cabinet Heaters, Thermostats, Piping, and additional equipment: Conduct thorough inspections of all HVAC equipment at specified intervals to identify potential problems before they occur. Inspections must take place twice a year in the months of January & July annually. Cleaning and Tune-ups: Clean condenser coils, clean accessible evaporator coils, test and replace belts as needed, and tune up HVAC systems to optimize performance and efficiency. Monitor refrigerant pressures. Clean condensate drains, clean and optimize burners, clean ignition assemblies, inspect heat exchanger, and clean any Y strainers. Cleaning & Tune-ups must take place twice a year in the months of January & July annually. Filter Replacements and Adjustments: Replace air filters quarterly and adjust airflow settings to ensure proper distribution. Lubrication of Moving Parts: Lubricate moving parts to prevent wear and tear and prolong equipment life. Lubrication of moving parts must take place twice a year in the months of January & July annually. Testing and Calibration of Controls: Test and calibrate thermostats, and other control devices to ensure accurate operation. Tighten electrical connections and inspect/clean contactors. Testing and calibration of controls must take place twice a year in the months of January & July annually. Cooling Towers Descale, drain, winterize, fill, clean basins and sump pumps, treat, and turn back on Water Towers during specific times of the year. Vendors shall turn off Water Towers in October and turn them on in May. Check Fan Systems for cracks, balance, & Alignment Inspect the Water Distribution System Test Water Quality Check for proper operation of expansion valves or any other metering Disposal of HVAC hazardous waste Vendor shall dispose of all hazardous waste, empty canisters, & containers Hazardous waste, empty canisters, & containers must be removed off-site immediately Emergency Repairs: The district expects response within 24 hours of an initial call or email from Englewood School District representative for the following: HVAC system breakdowns. Diagnosis and repair of malfunctions After-hours emergency service availability Vendor must have a 24-hour hotline for all emergency repair issues Replacement and Upgrades: Vendor shall provide annual: Assessment of HVAC system to ensure performance Recommendations for upgrades or replacements Installation of new equipment Energy Efficiency: Vendor shall: Identify energy-saving opportunities Implement energy-efficient measures Code Compliance: Ensuring compliance with all applicable building codes and regulations Obtaining necessary permits and inspections For new installations of mandated equipment Monitor Building Automated System (BAS) Vendor shall: Monitor and maintain indoor air quality Provide recommendations on how to improve air quality Monitor energy consumption and provide quarterly reports devices
