Reference Number 0000396610 Bid Intent Not Available The City of Oceanside is seeking proposals from qualified audiovisual contractors to upgrade its Library Community Rooms with the necessary technology and infrastructure to host public Commission Meetings. The upgraded rooms will function as a secondary or backup meeting venue for City Council and public board sessions. The system must support in-room sound and projection as well as high-quality remote participation and recording capabilities. Current & Desired System Information The Library Community Rooms currently function as flexible community-use spaces. It contains one 80" corner mounted TV with a PC and soundbar connected. The City intends to upgrade the rooms to include: _ Projection System: Two high-lumen, wall-mounted laser projectors with long throw lenses. _ Projection Screens: Two Tensioned motorized projection screens mounted to existing walls or soffits. _ Confidence Monitor: Large wall-mounted display visible to presenters. _ Conferencing Camera: One High-quality PTZ (Pan-Tilt-Zoom) camera. _ Microphones: Desktop and wireless microphone systems for up to 12 speakers., that will be stored and setup/taken down for each meeting. _ Speakers: Distributed speaker system with sufficient room coverage. _ Audio DSP & Amplifiers: Fully integrated digital signal processing and amplification. _ Touch panel Controls: Touch-enabled, wall-mounted AV control interfaces. _ AV Rack: Wall-mounted AV rack with full system integration. _ Networked AV & USB Extenders: Seamless AV over IP and USB connectivity. _ Hybrid Meeting Support: Full integration with Microsoft Teams and/or Zoom Rooms (City will provide licensing). _ Laptop Integration: The system must support laptop connectivity via a wall mounted input jack, allowing the user to control the entire AV system and interface directly with the in-room conferencing camera for Teams or Zoom meetings. All new equipment must be professionally installed and commissioned, with pathways and infrastructure identified and included as part of the proposal. All cabling must comply with industry standards. Integration with existing electrical and network infrastructure should be confirmed during the site walkthrough. The City is not liable for any costs incurred by the proposer prior to the issuance of a written notice to proceed to the successful consultant. The project team is subject to the approval of the City of Oceanside. The City will have the right to review and approve any changes in the project team. All sub-contractors who will assist the vendor in the performance of this work should be disclosed in the proposal.
