The Central Florida Tourism Oversight District (herein after "District", "Owner" and "CFTOD") is a Special Taxing District that serves as a local government entity. The District is responsible for its public infrastructure including, but not limited to roads, bridges, and water control system. As part of maintaining the infrastructure, The District is seeking proposals from contractors to supply on-site labor, materials, tools and equipment to perform preventative maintenance ("PM") tasks and miscellaneous repairs on Owner's existing balers, compactors, open top containers, and e-box equipment for a 3-year continuing contract term with a two-year optional renewal. Equipment lists are available under the "Documents" tab herein. Contractor to note that this list is subject to updates and alterations based upon Owner's evolving needs. The Contractor shall provide services for balers, compactors, open-top containers and e-box equipment which will include, but will not be limited to: A. Evaluate overall equipment condition B. Verify that all safety decals are in good condition C. Test and verify the operation of safety features D. Thoroughly inspect the cylinder welds and seals E. Grease all fittings F. Inspect all hoses and crimps G. Inspect all hose clamps and tighten as needed H. Inspect motor for signs of wear or end of life conditions I. Inspect pump for leaks or signs of failure J. Inspect oil level and general condition K. Perform oil analysis by an independent laboratory L. Operate gauge and verify that there are no leaks and operational M. Set all pressures N. Adjust limit switches as required O. Inspect ram or platen guide systems P. Inspect all control box switches and verify all are operational R. Inspect motor starter and motor starter overload Q. Inspect and test emergency stop switches S. Inspect all electrical connections and tighten as needed T. Inspect wiring for signs of damage U. Perform structural inspection of equipment V. Verify that all safety covers are secure and properly positioned W. Inspect all loading doors and related safety switches X. Verify area near equipment is clear of debris or improperly stored material Y. Provide training to personnel onsite during visit Z. Create a digital record for each site visit documenting all PM tasks AA. Communicate all deficiencies and discuss solutions with Owner Question Deadline 12/23/2025 at 6:00 PM ET Online Q&A Yes Contractor is responsible for maintaining a minimum of one (1) staff member on-site who is responsible and equipped to handle any and all preventative maintenance and repairs within a timely manner. Contractor is responsible for ensuring adequate staffing is provided to complete all work requests within the time frame specified and approved by the District. Bidder awarded will be required to provide on-site staffing on a M-F, 7a-5p basis at location determined by Owner. Contractor shall have 24 hour, 7-day a week Emergency Response availability with a maximum acknowledgement period of 4 hours and response time no later than 12 hours. The basis of award will be the highest ranked proposer on the evaluations. The District is awarding one contract. Pricing points weighted using Line Items 1 through 6. Florida Statute 287.05701- Pursuant to Florida Law, the District may not request documentation of or consider a vendor's social, political, or ideological interests when determining if the vendor is a responsible vendor, or give preference to a vendor based on the vendor's social, political, or ideological interests. To ensure fair consideration for all Bidders, the District strictly prohibits any communication, whether or not written, verbal, or through a third party, relative to this solicitation with any department, District official, District Board member, or employee during the active bid process, except inquiries directly made to the Procurement Department, or as provided in the protest policy.
