The Consultant shall provide hourly on-call maintenance and support services for the City's Audio Visual and Low Voltage systems, including troubleshooting, repair, software and firmware updates, and installation support for systems overseen by the City's IT Division. All services are to be provided on an hourly basis, unless otherwise specified and approved in writing. Objectives include responding to Service Requests initiated by the City for maintenance, repair, installation, or assessment related to low voltage systems. Requests may involve troubleshooting and repair, minor system modifications, component replacements, and emergency response for system outages. The Consultant is also to perform bi-annual full functional inspections of A/V equipment as detailed in the inventory, with a post-inspection report required. The inspection should include tasks such as firmware updates, cable condition checks, system configuration backups, and a series of detailed functional checks in multiple city facilities. Certain systems are excluded from the scope of work (e.g., cable broadcast equipment, video conferencing equipment, performing arts stage lighting, AM emergency broadcast radio system). The Consultant is expected to respond to standard issues within 2-3 business days and urgent issues within 24 hours. All personnel must be certified, identifiable as Consultant's employees, and comply with city work policies. The Consultant must purchase and invoice equipment and services as requested, providing required documentation and replacement of components as necessary. Proposals must include hourly rates by role, an estimated number of hours for a single AV inspection, all-inclusive pricing, and equipment markup disclosure.
