Pre Bid Meeting Mandatory Monday, January 26 1:00 - 2:00pm MST Selection of Proposals - Intent to Award March 25th, 2026 The District reserves the right to reject any and all Offers or any part thereof, to waive any irregularities or informalities, and to award the Solicitation to the Vendor as deemed in the best interest of the District. Selection of Proposals - Intent to Award March 25th, 2026 A. Purpose and Background 1. The District is developing a Health Science High School that includes multiple training pathways: Nursing, EMT, Medical Assisting, CNA, Respiratory Therapy, Medical Imaging, Surgical Technology, Sterile Processing, and Behavioral Health. These programs rely on Simulation-Based education, which requires an AV system designed specifically for capturing performance, supporting debriefing, and enabling objective assessment. 2. This RFP will support the turnkey design, procurement, and installation of the Simulation-Based AV Capture System for the District's new 2024 Bond funded Health Science High School. B. Category-Specific Vendor 1. Offerors must be capable of meeting the Scope of Services in their entirety. Sub-contract or piecemeal service proposals will not be considered. C. Work Streams 1. Vendors must demonstrate ability to provide end-to-end services, including design, project management, delivery, inside delivery, installation, on-site training, warranty support, and close-out. 2. Turnkey expectation: Single point of responsibility for complete Simulation-Based AV Capture System scope, including coordination with multiple stakeholders including, but not limited to, District Planning, Design & Construction, District Technology Infrastructure, Jacobs, the District's Bond Manager, the District's partners UCHealth and Community College of Aurora, the District's Architecture and Engineering teams, and the District's General Contractor. D. Scope of Services 1. Core System Architecture: The proposed Simulation-Based AV Capture System(s) must include the following components: a) Cloud-based operational core system services b) Network-based microphones that provide clear voice pickup and reduce background noise. c) Capture capabilities using both IP-based POE cameras with pan-tilt-zoom (PTZ) and mobile devices. d) Patient monitor capture that records data from a vital signs display to match the video timeline. e) Event data from manikins, displayed in sync with the video during debriefing. f) User interface for faculty interaction. Tablet- or browser-driven review interface. 2. Product Requirements a) Proprietary systems will not be considered. b) Standard IP-based devices are required. c) Capture capabilities must be available through both fixed and mobile capture solutions. d) Support for Live Observation: Live viewing must be nearly instantaneous in support of real-time instruction allowing instructors to intervene if needed. (1) Latency must not be greater than a fraction of a second to avoid disruptions to teaching. e) Ease of Use: Instructors must be able to manage the system quickly, without relying on technical staff. Systems should offer: (1) Clear, consistent user interface (2) Touch-friendly controls (3) Quick access to key functions (4) Minimal configuration during daily use f) User Interface: Minimum key functionality to include: (1) Starting and stopping scenarios (2) Selecting camera views (3) Tagging important moments (4) Reviewing synchronized audio, video, and patient monitor data (5) Managing playback for small or large group debriefs (6) Accessing checklists or scoring tools g) Debriefing Tools to include: (1) Time-stamped tagging (2) Multi-angle synchronized playback (3) Patient monitor timeline alignment (4) Tools to highlight specific learning moments h) Assessment and Evaluation Tools must be customizable to allow alignment with current and future curriculum requirements. At a minimum they must include: (1) Electronic checklists (2) Customizable scoring rubrics (3) Student performance portfolios. 3. Project Requirements a) All Vendors shall utilize the following information to complete Exhibit A and provide estimated project pricing. Specific project details shall be provided following project award as part of the system design process. b) Include line item pricing for all essential and nonessential peripheral devices, core system components, design, delivery, installation, training, and any other goods and/or services that may be used to fulfill the project requirements. c) Refer to Exhibit F, Health Science High School Building Plans and Layout, for room identification and data closet locations.
