Seeking proposals from qualified vendors to provide comprehensive auto detailing services under a Maintenance Services Contract to preserve, protect, and maintain its municipal vehicle fleet. Services include exterior care such as hand washing, paint restoration, polishing, protective coatings, contaminant removal, headlight restoration, and corrosion prevention, as well as interior care including deep cleaning of seats, carpets, and upholstery, conditioning surfaces, odor removal, and window and mirror cleaning. Regular detailing is required to support vehicle safety, visibility, operational performance, protection against wear and environmental damage, occupant health, reduced long-term maintenance costs, extended vehicle lifespan, enhanced resale value, and potentially lower insurance expenses. Contractor must deliver consistent, high quality services that uphold standards for safety, performance, and fiscal responsibility. Scope of services includes: - Existing conditions verification and review: Review existing data and conduct independent investigation. - Schematics: Create schematic design documents for City approval. - Design development: Prepare final design criteria, design development documents, and a cost estimate. - Construction documents: Prepare final plans/specifications for construction, subject to Owner review/approval. - Bidding and procurement: Assist City in awarding the construction contract. - Construction phase: Collaborate with City and construction contractor to protect City from defects and deficiencies, possibly including site visits, addenda, change order preparation, and review of contractor plans. - Close-out phase: Assist with project completion, such as punchlist work, corrections, O&M manual review, and site visits. - Additional services: May be requested and will be compensated as defined in the Professional Services Agreement. Proposals must be electronically submitted through the City's OpenGov Procurement portal. Each proposal must include a cover/title page, transmittal letter, executive summary, respondent qualifications and experience, financial statements, and any discretionary supplemental materials. Only one proposal per respondent is allowed and compliance with instructions is required. Proposals must provide a lump sum, not-to-exceed price for all services, with pricing proposals submitted as a separate file. Reimbursable expenses, additional services, overtime, and travel must be included in the not-to-exceed price. Respondents must demonstrate financial qualification and provide a list of claims/litigation and insurance broker letter. Proposals are due before the specified deadline; the City reserves the right to amend, reject, or request additional information as needed.
