The Bedford School District (herein referred to as the District) is soliciting bids from qualified firms to provide septic system and grease trap maintenance services for five Bedford school locations. This contract will be for a base year (July 1, 2024 - June 30, 2025), with two (2) additional years to be awarded at the District's option. I. Scope of Work and Specifications General Information: Tank locations, capacities and frequency for service are listed below and not meant to guarantee specific volumes. Bidder must be available for emergency pump-outs and 24/7 on-call service. 1. Scope of Work: Annual maintenance of septic tanks and grease traps (internal & external) for the District. Regular pump-outs of materials, properly disposed of in accordance with all Federal, State, and/or local laws. Inspect and perform all regular maintenance on septic tanks and grease traps (filters, cleaning, etc.). 2. Locations: A. Bedford Middle/High School - 47 Nashua Road: 1 - Inside grease trap pumped 2 times per year (Dec./June) Grease trap is approximately 82 gallons B. Memorial School - 55 Old Bedford Road: 4 - Septic tanks totaling 13,500 gallons pumped once a year in June (End of school year) 1 - 1,500 gallon external grease trap pumped every two (2) years in June (End of school year) 1 - 4,000 gallon external grease trap pumped every two (2) years in June (End of school year) C. Mckelvie Intermediate School - 108 Liberty Hill Road: 2 - Inside grease traps pumped 2 times per year (Dec./June) Grease traps are approximately 28 gallons & 57 gallons D. Peter Woodbury School - 180 County Road: 1 - 1,500 gallon external grease trap pumped every two (2) years in June (End of school year) E. Riddle Brook School - 230 New Boston Road: 4 - Septic tanks totaling 10,500 gallons pumped once a year in June (End of school) 2 - External grease traps totaling 5,000 gallons pumped every two (2) years in June (End of school year) 1 - Inside grease trap pumped 2 times per year (Dec./June) Grease trap is approximately 82 gallons 3. Schedule Septic and grease trap service will be scheduled around school operations for safety reasons and to minimize disruption to staff and students. Services are coordinated by the applicable school's maintenance department and are typically completed when school is not in session. II. Terms and Conditions General terms and conditions are listed in Appendix A, and are considered an integral part of this "Invitation to Bid". Bids must include the following information: 1. The Quote Sheet (Appendix B) completed and signed. 2. A general profile of the firm, including location of the office from which equipment will be dispatched. Bidder must demonstrate a minimum of five (5) years experience with the systems listed herein. 3. A list of equipment available to complete septic and grease trap services. 4. A list of three references (including a contact name and phone number). Bids will be evaluated on the basis of price and ability to meet the specifications, as evidenced by available equipment and references of prior work. The District reserves the right to award the bid by location. The District reserves the right to reject any or all proposals, in part or total. Fuel surcharges will not be allowed in the first year of the contract, but may be negotiated as part of the renewal process for years two and three of the contract. All work under this contract is to be conducted in accordance with all applicable federal, state and local regulations, codes and ordinances. III. Minimum Insurance Requirements The contractor will maintain, at its expense during the term of this contract, the following insurance: 1. Comprehensive general liability insurance with a combined single limit of $1,000,000 each occurrence for bodily injury and property damage. The Bedford School District shall be named as an "additional insured" on the policy with respect to the services provided under this contract. 2. Automobile liability insurance for owned, hired and non-owned vehicles with a minimum of $1,000,000 combined single limit per accident for bodily injury and property damage. 3. Workers' compensation insurance as required by the state statute. Certificates of insurance must be filed with the Business Administrator prior to beginning work.
