Establish an annual, renewable contract to provide a reprogramming of its current access control system with an annual contract for service, maintenance, installation and replacement parts. QUESTION DEADLINE: Tuesday, July 8, 2025; 5:00 p.m. ET Unless otherwise instructed, the Procurement Contact is the sole point of contact for questions concerning this URFP Octavia Andrew, NIGP-CPP, CPPO, VCO Chief Procurement Officer Phone: 703-737-7176 E-mail: BidQuestions@leesburgva.gov The Town is seeking to establish an annual contract with a qualified firm to upgrade its current card access control system through reprogramming the current mercury boards to a new cloud-based solution. This contract would also include training on the new software and an annual license fee. Part of the contract would include identifying the end-of-life schedule for the current mercury boards and a proposed replacement schedule. This contract would also provide the Town of Leesburg with maintenance, service, and technical support for the software. The term of this Contract shall commence on a date that is mutually agreed upon both parties and shall continue in force for one (1) year. Upon mutual agreement of both parties, this Contract may be renewed for four (4) additional one-year terms. The Town reserves the right to accept or reject any or all proposals in whole or in part and to waive minor informalities in the process of awarding this contract.
