**As of MAY 12 , 2025 this project will cancelled but no definite date for the rebid.** The Town of Jupiter is soliciting bids for commercial grade materials, equipment, cabling and services to outfit the executive boardroom in its town hall located at 210 Military Trail Jupiter, FL 33458 with conferencing and presentation capabilities, including video conference calls, audio and multiple camera feeds and touchscreen controls. Bids are expected to provide all materials, installation, configuration, and training of all necessary cabling, connectors, cameras, speakers, microphones, touchscreen(s), amplifiers, tuners, mounts, software licenses, etc. to successfully complete the project. Bids shall be from qualified vendors located in the United States which strictly meet all of the Requirements & Specifications listed in this document, and appendices. The boardroom currently is equipped with two (2) 86" LG 86UR340C9 display units mounted on the two side walls of the room and one (1) 65" Samsung LH65QHCE display mounted at the head of the table. Additionally, a small NUC computer is mounted behind one of the two 86" displays used for presentations and to conduct video conferencing calls operated with a wireless mouse and keyboard. The Town of Jupiter uses AVAYA Cloud telephony services as its standard for voice, messaging, and conference calls and would like this system integrated into the proposed solution to be able to make VOIP calls and utilize the room's cameras, microphones and ceiling speakers. The design shall include multiple cameras with auto switching and framing capabilities based on the audio input from multiple microphones mounted on the ceiling in a configuration that will best serve the room's acoustics and layout. The boardroom table currently has three (3) existing inserts (table cubbies). Bids shall include the addition of HDMI inputs into two (2) of the inserts at the front and rear of the table. In the center position, bids shall include a BYOD configuration that provides for connection of a laptop to HDMI and USB ports so a laptop can utilize all the room's peripherals. This will provide four computer inputs that will need to be selectable as sources via a touch screen control panel. The selected source (input) shall be simultaneously displayed on all three (3) screens.
