SCOPE OF SERVICES The successful bidder will be responsible for the professional installation, integration, calibration, and testing of the audio-visual broadcast system, ensuring full functionality for town meetings, public broadcasts, and hybrid sessions. This includes, but is not limited to, the following items: a. System Design Review & Verification: Review existing AV component specifications and current Town Hall space layout to ensure compatibility and optimal system performance. Proposer may recommend minor adjustments for improved functionality, subject to Town approval. b. Video Capture & Streaming Integration: * Installation and mounting of three (3) PTZ Optics Move 4k PTZ Cameras in optimal locations for coverage of meeting participants and presenters. Integration of the PTZOptics Move 4k PTZ Camera Joystick Controller for manual camera operation. * Configuration of cameras and controller for seamless video switching and capture. * Integration with existing Town Hall networking infrastructure for potential future streaming capabilities (Town to provide network access points). c. Audio Reinforcement System Installation & Calibration: * Integration of the existing JBL JRX215 loudspeakers, existing mixer, and existing amplifier (along with the owner-furnished Rockville RPA12 2-Channel Power Amplifier) to deliver clear and balanced sound throughout the space. * Professional cabling and connections for all audio components. * Acoustic calibration of loudspeakers to optimize audio reinforcement for public address and presentation audio, minimizing feedback and ensuring clarity. d. Projection System Installation & Alignment: * Integration and alignment of the owner-furnished LG ProBeam Laser Projector with 5,000 ANSI Lumens, projecting onto the existing motorized 120"-diagonal projection screen. * Installation and connection of the owner-furnished Computer Monitor for local control/monitoring. * Calibration of the projector for optimal image quality and alignment with the screen. e. Structured Cabling & Connectivity: * Professional installation of all necessary audio, video, control, and network cabling (e.g., HDMI, XLR, Cat6, control cables) to ensure clean, reliable, and organized connections between all AV components. All cabling shall be concealed where practical and aesthetically appropriate. * Labeling of all cables and connections for ease of future maintenance. f. System Testing & Commissioning: * Comprehensive testing of all AV system components to ensure full functionality and performance as specified. * Adjustments and troubleshooting as needed to meet system requirements. g. Training & Documentation: * Provide operational training to designated Town staff on the use of the new AV system, including camera control, audio mixing, and projection. * Provide comprehensive system documentation, including wiring diagrams, equipment manuals, and operational guides. h. Project Schedule: Develop and adhere to a detailed project schedule, coordinating with Town staff to minimize disruption to Town Hall operations. i. Cleanup: Responsible for thorough cleanup of the work area upon completion of the project, including removal of all debris and waste. 3.
