The City of Calimesa is currently accepting proposals from qualified AV Systems Integration firms for Audio Sound System improvements in the City Council Chamber and an adjacent space. The City may award the contract to a single contractor. Specifications and RFP documents are available at the City. Final Proposal Evaluation and Vendor Recommendation August 28, 2025 City Council Approval of Recommended Vendor September 15, 2025 Proposal instructions are contained in the Request for Proposals (RFP) document. Please provide the requested information in the prescribed written format. Failure to comply with the prescribed format may result in disqualification. An Evaluation Committee created within the City shall review all proposals to determine which Proposers are qualified for consideration. The evaluation will include an initial review and a detailed review. The initial review will evaluate all submissions for conformance to stated specifications to eliminate all responses that deviate substantially from the basic intent and/or fail to satisfy the mandatory requirements and qualifications. Only those proposals that meet or exceed the intent of the mandatory requirements will be further evaluated. The City's objective is to upgrade the current AV Sound Systems within the City Council Chamber, and the adjacent Control Room that serves the staff and business operations of the City Council Meetings. The Systems Integration firm that is selected by the City of Calimesa is expected to assist with coordination of efforts to install and integrate new systems The City has determined that the existing Sound System(s) are not performing or functioning correctly and in need of replacement. To address this issue, the City has created a general design-intent which includes the attached equipment list and desired functionalities as set forth in the is RFP. A fully completed, turn-key design and installation of the new system within the existing TV Production System is the main objective of the Scope of Work. Some demolition of existing systems is required. This RFP contains scope of work requirements that the selected AV Systems Integrator must meet, or exceed, including general contractual requirements mandated by the City. Any specifications and processes delineated in this RFP reflect current system functionalities and proposed improvements and are not intended to limit Proposers in developing their design. It is the responsibility of the respondents to address all aspects of this RFP.
