The Town of Middlefield Parks & Recreation Department is soliciting sealed proposals from qualified contractors to provide grounds maintenance services for Peckham Park and Dinosaur Park. The services include mowing, trimming, edging, athletic field maintenance, field lining, and limited vegetation management. Minimum performance standards require follow-up service calls at no charge for unsatisfactory performance, timely response to Town-reported issues (with a preference for response within one business day for urgent issues), and reporting of any property damage or injury resulting from the contractor’s operations within one business day of occurrence. Contractors must maintain accurate records of work performed and provide reports upon request. Proposals must include a signed cover letter, company qualifications and relevant experience (including athletic field and municipal/park work), staffing plan and supervision, work plan and schedule, completed pricing table, equipment list, references, and any exceptions to the RFP requirements. Proposals must be signed by an authorized representative and submitted by the due date, clearly identifying any exceptions. All questions must be submitted in writing by the questions-due deadline. The Town may request additional information, references, or an interview prior to award and may terminate the contract for lack or substandard performance. The proposer is responsible for timely delivery and checking for any addenda or clarifications issued by the Town. Proposals received after the specified date and time may not be considered.
