The City of San Ramon is requesting quotations from qualified vendors for the purchase of electrical and lighting supplies. Qualified vendors are asked to provide quotations including licensing fees, delivery/transportation fees, and any other charges, along with a detailed description of the items proposed for purchase. Prices must be valid from July 1, 2026 to June 30, 2027. Any deviation from the specifications must be detailed and submitted as part of the quotation. All quotations must be firm and not subject to escalation or deviation. Vendors may include any special terms and conditions in writing and attach them to their quotation. The City reserves the right to accept or reject all or any part of the quotation at its discretion. Considerations for determining the most advantageous quotation include vendor responsibility, ability to perform satisfactorily, total cost (including discounts, shipping costs, and life cycle costs), quality and performance of supplies and equipment, the vendor's past performance, and ability to provide future maintenance, repair parts, and service. Completed documents must be submitted via email to the address provided. Instructions to bidders include submitting a completed and signed "Informal Request for Quotations" document and a completed "Quotation and Price Schedule" (Attachment A). Any deviations and special terms or conditions must be attached in writing. All products must be shipped in manufacturer's original, undamaged packaging, and any "equal" products must be demonstrated as equivalent to the satisfaction of the City. Where applicable, SDS must accompany all deliveries. All prices are FOB destination, and no additional charges are allowed. Sales taxes will be added to the invoice and paid by the City.
