The City of Avondale (the "City") is issuing this Informal Request For Proposals (this "RFP") seeking proposals ("Proposals") from qualified, licensed firms ("Vendors") interested to provide all material and labor required as describe in the section title Scope of Work on weekly basis (the "Services") for a period of one year, with four renewable one-year options, as set forth in the Sample Professional Services Agreement. Final Date for Inquiries: November 24, 2025, 5:00pm Questions shall only be accepted through OpenGov and submitted before the date indicated Estimated Contract Award Date 12/22/2025 Scope of Services The Contractor shall perform the following tasks and responsibilities: Gallery Operations Maintain regular public hours approved by the City. Provide qualified staff to manage daily operations, visitor engagement, and exhibition oversight. Handle administrative functions, including scheduling, artist coordination, recordkeeping, and contract management. Ensure all gallery activities align with City policies, branding, and community values. Exhibition Planning and Curation Develop and implement an annual exhibition calendar featuring a minimum of four (4) rotating exhibitions. Oversee artist selection, artwork transportation, installation, and deinstallation. Provide curatorial guidance to ensure artistic quality and professional presentation. Include local, regional, and guest artists to maintain diversity and broaden participation. Ensure the display is comprehensive and appropriately scaled to the exhibition space within the library gallery. Submit a detailed exhibition plan for each show to the Library Manager for review and approval no later than 90-60 days prior to installation. Community Engagement and Education Plan and host at least four (4) community engagement events annually, including artist talks, workshops, opening receptions, and guided tours. Collaborate with schools, nonprofits, and community partners to increase accessibility and audience reach. Develop educational content and interpretive materials to enhance visitor understanding and participation. Marketing and Promotion Create and distribute promotional content for exhibitions and events using print, web, and social media. Coordinate with the City's Communications Department to ensure consistent branding and messaging. Maintain an active and current online presence, including an updated exhibition calendar and event listings. Facility and Artwork Care Ensure safe handling, storage, and display of all artwork in accordance with professional standards. Maintain gallery facilities in a clean, organized, and visitor-ready condition. Comply with all City requirements for safety, ADA accessibility, and facility use.
