The City of San Ramon requests quotations from qualified vendors for the purchase of traffic signal cabinet and pluggables. Vendors are to provide quotations inclusive of licensing fees, delivery/transportation fees, and any other charges, along with a detailed description of the proposed items. Quotations must include a completed and signed "Informal Request for Quotations" document, and a completed "Quotation and Price Schedule" (Attachment A). Any deviations from specifications must be detailed and submitted with the quotation. All prices must be firm and not subject to escalation or deviation. Vendors may attach any special terms and conditions, which become part of the quotation when stated. The City reserves the right to accept or reject any part of the quotation as required. Consideration for award includes vendor responsibility and ability to perform, total cost (including shipping, discounts, and life cycle costs where specified), quality and performance of the supplies, vendor's past performance, and ability to provide future maintenance or services as needed. Completed documents must be submitted via email as specified in the instructions. Supplies are to be delivered to selected City sites or made available by “Will Call” at the vendor’s place of business. Delivery costs should be included for comparison. All deliveries must occur during regular business hours unless otherwise approved. Deliveries must comply with applicable safety orders and OSHA requirements. The City may refuse goods or services not meeting specifications without incurring additional charges, and vendors must promptly replace any rejected items. Additional relevant requirements include FOB destination pricing, products in manufacturer’s original packaging, documentation for alternate (“equal”) products, provision of Safety Data Sheets where applicable, and payment terms as specified. Sales tax is not to be included in the quotation.
