Quotations are requested from qualified vendors for the purchase of traffic signal supplies and equipment. Vendors are required to include all charges (such as licensing fees and delivery/transportation fees) and provide a detailed description of the proposed items. Vendors must submit a completed and signed Informal Request for Quotations document and a completed Quotation and Price Schedule (Attachment A). Any deviations from the specifications must be detailed and included in the quotation. All quotations must be firm and not subject to escalation or deviation. Vendors may attach any special terms and conditions as part of the quotation. The City reserves the right to accept or reject all or any part of a quotation as deemed necessary. Quotations should be submitted via email by the specified deadline. Considerations for determining the most advantageous quotation include vendor responsibility and ability to perform, total cost (including discounts, shipping, life cycle costs), quality and performance of the supplies and equipment, vendor's prior performance, and ability to provide future maintenance, repair parts, and service. Delivery sites include City facilities or "Will Call" at the vendor’s place of business, with unit costs to be provided for additional off-loading manpower. All merchandise must comply with applicable safety regulations and be shipped in original, undamaged packaging. The City may refuse goods not meeting specifications, without incurring additional charges.
