Renovation of a municipal facility in Indian River Shores, Florida. Completed plans call for the renovation of a municipal facility.

Design - Council Chambers Audiovisual and Broadcast Technology System. CONTRACT PERIOD This Contract shall be binding on the parties for a period of twelve (12) consecutive months from the date of execution by both parties unless terminated earlier in accordance with its terms. The Town may extend the term of this Contract for up to three (3) additional terms of twelve (12) months each on the same terms and conditions. Scope of Work The purpose of this Request for Proposals (RFP) is to identify and select a qualified vendor with a proven track record in the design, installation and support of an audio/visual (A/V) and broadcast system. The successful bidder will design, furnish, install, train staff, and provide technical support for the new system to be located in the Town Council Chambers. The Town is seeking a turnkey solution to replace the existing A/V system in the Town Council Chambers. The design and system recommendations must consider the Town's need for a system that does not require significant staff operation or monitoring, and one which can be operated remotely. All technology shall be digital and IP- based, and interoperable. The system installed will support at least full HD capability (1920x1080 Resolution). The installed infrastructure should be able to accommodate future presentation upgrades of at least 4K resolution. The system will be utilized in the Town Council Chambers, located in Town Hall at 6001 Highway A1A, Indian River Shores, Florida, 32963. This is a public meeting facility used by the Town Council and other Town board and committees. The system will be used to record and stream, both live and recorded, on YouTube. The Town Council Chambers is approximately 32' x 32' with a maximum height of 15'. The room includes a dais with seating for up to eight people and audience seating capacity of approximately 50 people. The hardware for the sound system should be located outside of Council Chambers due to space constraints. Contractor shall provide the TOWN with a Payment and Performance Bond in the amount of 100% of the contract value, whichever is greater, within fourteen (14) calendar days of a written Notice to Proceed (NTP) by TOWN. Once activated, the Payment and Performance Bond shall be in force for a period of not less than one (1) year from the date of original execution by the Bond Surety. Question Deadline 09/27/2024 at 2:00 PM ET All questions or requests for information should be sent to the Procurement Manager, in writing and may be submitted via email to purchasing@irshores.com Parties interested in submitting a response to this request agree not to "lobby" Town Council Members or any employees or agent of the Town by any means of communication at any time during the solicitation period and selection process. Such communications initiated by a bidder shall be grounds for disqualifying the offending bidder from consideration for award of the bid and/or any future bids. The Town of Indian River Shores reserves the right to reject any or all proposals, waive any informality or irregularity on any proposal if considered non-substantial by the Town, and/or cancel this invitation at will. Proposals received after the date and time stipulated herein will be considered late and therefore, disqualified. The Town Manager reserves the right to accept or reject any/all proposals in whole or in part and to waive any technicality or irregularity. The method of Contractor Selection has not been Determined at this time.
