Supply and deliver one new digital multi-function monochrome copier for the Assessing Department in accordance with detailed bid specifications and conditions. The copier shall be a Konica Minolta Bizhub 301i or equivalent, with all machines required to include copying, scanning, and printing functions. Bids must include the manufacturer and model number, descriptive literature, and delivery timeframe. The bid price should cover shipping and handling, quoted F.O.B. to the specified address, and exclude taxes not applicable to municipalities. The Town will consider multiple bids from a single bidder if proposing different models. A one-year maintenance contract must be included with the copier, covering on-site labor, parts, and all supplies except paper and staples, commencing on delivery and based on 10,000 black and white copies. Costs for renewal for up to two additional years should be indicated. Evaluation will be based on copier and maintenance costs, product performance, and service reputation, which may involve demonstrations and references. Bidders must identify two current customers using similar copiers and two customers with at least three years of maintenance service experience from the bidder. The Town reserves all rights regarding bid acceptance and rejection. Bids must be marked clearly, use the provided Bid Form, and be received by the specified deadline. Bidders are responsible for bid delivery and compliance with the Town's Purchasing Policy. Optional trade-in of one Konica Minolta 223 copier is available.
